Over the past 20 years of building and running my own successful health clinics and working with hundreds of other health business owners around the world – there is one health business management tool that I have used in each and every clinic I have been involved in.

This secret business management system has single handedly allowed myself – and fellow health business owners – to free ourselves from our clinics, be confident that all key steps and being followed by our teams, and ultimately give us the the freedom to do what they want – when they want.

So what is a New Patient Register and how do you set it up correctly?

Well – in a nutshell – the New Patient Register is the “Policeman of Your Clinic” – so it is the first place you should look when you are reviewing the performance of your health business – as it will quickly and easily tell you if the key steps and procedures you want followed in your business – are actually being done – and how well they are being done.

The New Patient Register is like a detailed spreadsheet – designed to track the journey of each and every new client (or returning client with a new problem) who comes into your clinic each day – to ensure all new client steps are being completed by your team.

When working with health businesses to increase productivity and profitability – one of the first things we do is outline the fundamental steps we want all new clients to be taken through in their new client journey – then put these steps in chronological order.

The New Patient Register for this specific clinic is then created so the team members are able to record that each of these steps actually occurred for each client.

Typical columns on a New Patient Register will include – the basic information such as the clients name, the date of their initial consult, the name of the therapist who completed the initial assessment and the name of the admin team member responsible for the new patients post assessment re-bookings.

Following columns may be different for each clinic however some typical steps we need to be sure they occurred include things like the new client completing their new patient paperwork, their email address being collected, the signing of the new patient agreement, a follow up call made within 24 hours of the initial consultation, a written plan given to the patient with a suggested treatment program on it, the number of follow up appointments this patient made, the welcome email sent and the welcome letter posted.

The New Patient Register can be as simple or as comprehensive as you like – we currently have clients with as few as five columns on their register – and other clients with over thirty specific steps they want each new patient to be taken through.

However – regardless of the complexity of your New Patient Register the key to running a successful health business is having a high degree of CERTAINTY.

You need to be certain that the key steps and processes are being completed in your health business – otherwise you become like so many other health business owners –chained to their business and unable to look away for even a moment – for fear of their systems falling over.
